Personal Assistant & Administrator - West Bridgford, Nottingham


 

We’re looking to hire a very well organised, self-starting, motivated and diligent VA to support a Coaching business in its set up phase and then on to its evolution.

The intention is that this role will evolve and grow as the business (& the business needs) grow.

The person who does this role will learn lots from this opportunity, through co-piloting with two highly experienced entrepreneurs.

This role has 3 elements:

1. Essential weekly- supporting the business running. These will be fixed tasks and times each week.

2. Ad hoc weekly- as required, there may be requirement for extra support in the week. This will be on an ad hoc basis.

3. Concierge role- Scope for evolution to a “concierge” role for the business client delivery. This is in the medium term (3months plus). We would like to hire someone who can join us on this journey and evolve with us as the business grows.

Individual requirements

The person we are looking to hire for this role is:

- Able to hold others to account

- High intellectual horsepower- this is critical as the scope of the role could evolve to become the Concierge for our Coaching business, where you would become the face of the business and would be client facing.

Ideally, this person would live in the West Bridgford area as we like to have face to face conversations/co-working time where we will need the VA to be present.

We will require full confidentiality from this person as we are creating IP, and working with clients for whom we have promised full confidentiality.

Role responsibilities and deliverables

As detailed above, this role has 3 elements. The detail of these is below:

1. Essential weekly

Monday 9-10am: Weekly Kick Off Call (Zoom)

VA requirement:

- Join this weekly call.

- Capture key actions as they arise in the conversation between all parties.

- Complete the Click Up task management tool with the owners of each task.

- Review previous week’s tasks and highlight areas outstanding- hold both the CEO and COO to account.

Daily (Tues-Friday): Daily Check in with CEO (30mins on Zoom). Time to be agreed.

VA requirement:

- Define the specific tasks required for completion by the CEO in the day

- Update ClickUp with the progress made on the tasks (as defined on Mondays)

2. Ad hoc weekly

As required, we will have ad hoc requests. We will brief these on an ad hoc basis (usually in the Monday morning call). These will include (but are not limited to):

- Presentation slide preparation

- Calendar admin

- Client reach out

- CRM management

- Social media scheduling

- Performance analysis: reporting on results from activities taken

- Personal VA tasks e.g. parcel collection, dry cleaning collection, booking of appointments, arranging cleaners/gardeners, grocery shopping etc

3. Concierge Role

As the business evolves, we will be hosting client facing time. For this, we will require a concierge. The responsibilities for this are still being scoped, but would include tasks such as:

- Client communication (monitoring the central email box)

- Concierge on the group coaching calls (e.g. managing the waiting room, setting up the calls, taking queries as they come)

- Facebook group management including responding to client queries

The reason we mention this at this stage, is that we would like the VA that we hire to be someone who can grow with us and take on these additional tasks as they evolve.

For clarity, the concierge element of the role is not in the immediate term, but we are hoping to need this role in 3 months.

Job Type: Part-time
Part-time hours: 5-10 per week

Salary: £15.00 per hour

Schedule:

  • Monday to Friday

Ability to commute/relocate:

  • Nottingham: reliably commute or plan to relocate before starting work (required)

Experience:

  • Administrative experience: 3 years (required)

Work Location: Hybrid remote in Nottingham
