Location: Resolven House, St Mellons, Cardiff

Hours: 35 hours per week

Salary: £23,000 - £25,000 per annum

Kaleidoscope is a pioneering substance misuse treatment provider, offering evidence-based treatment and holistic support to individuals who access its services. We are a forward-looking organisation, passionate about developing services while keeping the needs of our service user community at the heart of what we do. Our achievements include initiating the first needle syringe exchange, on site methadone dispensing and the setting up of social enterprises. Kaleidoscope understands that, through listening to people, we’ll continue to innovate and campaign for the interests of those seeking help.

Our services span the whole of Wales as well as our Residential Unit in Heswall. At present we employee 250 staff; these roles vary from Administrators to Clinical Staff. As Recruitment Officer you will sit within our small, but effective Head Office team.

Why Are We Recruiting?

As our services are contract led, this brings a lot of change that we need to be resilient to. We are proud to be in a position of being the leading provider of substance misuse treatment services and looking to retain as well as develop these services. Our recruitment needs over the past 12+ months has increased so our focus has been on how we can better attract a diverse range of candidates to work for us, as well as retaining those staǖ we do have.

We have therefore set up a Recruitment and Onboarding working group to look at all stages of our recruitment process. This is still in the early stages, but to date our main focus has been “peer led value-based interviewing”, which includes involving our main stakeholders in the recruiting process.

The Recruitment and Onboarding Officer is a new role in which will help us to carry this group forward and be responsible for overseeing the recruitment process in its entirety; from advertising positions, sourcing the best routes to do this, to ensuring a consistent induction process and probationary procedures are carried out.

  • Work closely with the management team to establish suitable recruitment approaches.

More About The Role…

  • Advertise job vacancies as requested:

o Advertise through standard recruitment channels (internal emails, website and free job boards, e.g. Indeed).

o Source suitable/relevant job boards/publications.

o Source suitable/relevant agencies, as needed, developing a preferred supplier arrangement Innovation will be key in the above so that we can keep within budgets.

  • Job fairs:

o Research relevant fairs to attend, both graduate and local job fairs

o Help coordinate events, merchandise and attendance.

  • Network with relevant groups, such as universities, Royal College of Nursing (RCN) Local Authorities etc.
  • Liaising with managers to establish recruitment/ future resourcing needs.
  • Liaising with the Campaigns and Communications team to promote recruitment through social media channels.
  • Explore diversity and inclusion needs and how we can promote vacancies to diverse community groups.
  • Ensure Job Descriptions are up to date, relevant, consistent and attractive to candidates
  • Coordinate the recruitment and onboarding working group:

o Establish relevant members.

o Create ongoing agendas for discussion and implementation.

o Report on updates.

  • Coordinate and ensure quality of all selection processes
  • Coordinate interviews/ assessment events, identifying the best format at all stages of recruitment
  • Work with wider partners / agencies to promote recruitment.  Coordinate a bank of Nurses/Workers to utilise.
  • Sit on interview panels, as needed.
  • Establish “value based” decision making for applicant shortlisting/decision making.
  • Audit interview / selection processes for quality.
  • Issue offer of employment letters and contracts
  • Liaise with the HR Administrator to ensure employee checks are carried out.
  • Ensure inductions checklists/ competency assessments are appropriately completed.
  • Liaise with managers to ensure probations are logged and carried out effectively; sitting on meetings as needed.
  • Provide monthly reports on recruitment activity; establishing Return on Investment and analyse what can be improved.
  • Carry out regular check ins with new starters.
  • Organise monthly Inductions.
  • Explore international recruitment options.
  • Reach out to workers who resign, conducting exit interviews and analysing feedback.
  • Apply the above to volunteer recruitment, working with individual services Volunteer Coordinators to ensure consistency in approach.
