Job Title: Finance with HR Officer

Pay Scale: Pay Scale NJC Scale SO1

Term time only + 10 days

35 hours a week (30 min Lunch)

Reporting to: Director of Resources

About You

You will be a highly organised and effective administrator, with a track record of managing the HR/Finance function in a busy office environment. You have a high level of confidentiality and be able to provide a high level of service to key stakeholders across the school.

Job Purpose

● To provide an effective Human Resources and Finance support function under the leadership of the Director of Resources

● To lead on all operational Human Resources Finance matters across the H3 Federation.

● To provide local authorities with requested documentation.

● In conjunction with the Director of Resources, provide accurate data of staff demographics and absences.

● In conjunction with the Director of Resources, provide accurate financial reports.

● To provide excellent customer service at all times.

Main Key Role

Human Resources

● To lead on all operational HR matters for the school.

● To lead on and co-ordinate new starter administration.

● To ensure that all required information is held in electronic and paper files and work to digitise all personnel records.

● To liaise with the Director of Operations to ensure that staff records, email addresses and log-ins are appropriately created and deleted when staff arrive at and leave the school.

● To input staff personnel data, contract and absence information onto the school’s Management Information System (arbor) and payroll/HR/pension provider systems as required.

● To lead and manage the end to end recruitment process - including preparing and placing advertisements, creating application packs, coordinating and organising the selection processes (working alongside the Executive PA who supports all candidate facing aspects including communicating with candidates).

● Working with relevant stakeholders in the production of induction packs for new staff, volunteers and others working in school and coordinating the new starter / induction process with relevant colleagues.

● Lead on maintaining the single central record, ensuring the information it contains is complete, accurate, up to date, and in line with statutory requirements, working with the

Designated Safeguarding Lead accordingly, ensuring everyone in school has a valid DBS check.

● To update staff absences within our management information reporting tool, and ensure RTW forms are completed and submitted.

● To undertake informal RTW meetings with a range of staff as required.

● Ensuring that appropriate systems and procedures are in place, so that the school remains compliant with all data protection legislation, in particular the General Data Protection Regulation (GDPR).

● To devise and develop system improvements to ensure that the HR element of the school information systems are compliant with all relevant legislation and are as useful to the school as possible.

Finance

● To manage the financial operations of the federation and ensuring there is an accurate audit trail for all transactions

● To complete month end processes and send relevant reports to the Director of HR and Finance

● To complete quarterly returns and send relevant reports to the Director of HR and Finance and the LA where appropriate.

● To ensure invoices are paid on time and weekly BACS runs are completed and are authorised by the appropriate staff

● To ensure all purchases achieve best value and all staff are aware of these principles when placing orders

● To maintain inventories for the federation

● Issue regular reports to budget holders as required

● Maintain and manage the school parentpay system and ensure it is reconciled regularly

● Manage the school credit cards and ensure that cardholders are completing monthly reconciliations

Innovation (decision making and creativity)

● The post holder will be expected to use initiative, including making suggestions for improvements and exercise judgement in determining priorities for themselves.

● The post holder will be expected to have flexibility to adapt to changing school priorities.

● The post holder will be prepared to develop new skills and working methods in order to effectively respond to changing school needs.

● The post holder is required to make recommendations to the Director of Resources to ensure the smooth running of the finance and HR function – specifically in relation to automating activities to remove manual processing.

Other Responsibilities

● To undertake other duties consistent with the scope of the post and within the competence of the post holder as required, in accordance with the school’s aims and objectives.

● To work as part of a team to deliver the varied tasks across the school, showing flexibility to meet the demands required.

● Experience of Finance and/or HR administration in an educational setting.

● Able to demonstrate a good standard of literacy and numeracy.

● Able to handle confidential information with complete discretion.

● ICT skills, including MS Word, Excel, Outlook google workspace and a range of databases.

● Good interpersonal skills and ability to communicate effectively, both orally and in writing, able to deal with students, staff, parents and other visitors to the school in a professional, calm, polite and friendly and helpful manner.

● Ability to establish and maintain effective relationships with staff,

● students and parents.

● Ability to work under pressure, be flexible, manage a varied workload

● and deal with competing demands

● Ability to maintain accurate records and filing systems.

● Ability to learn new systems and process quickly.
